Procurement
How buying works, who you sign with, and when you pay.
Western procurement teams ask the same questions before buying industrial equipment from China: who is the legal entity, what exactly is in scope, how acceptance is tested, and who stands behind the warranty. This page answers them in order.
Ten steps
From RFQ to warranty
- 01
Send an RFQ
Buyer · Day 0
Drawing, resin system, target output, plant voltage, destination. The more complete, the faster the quotation.
- 02
Engineering questions and DFM
Factory engineering
An engineer checks the profile and asks what is missing. You receive DFM notes on the cross-section and die concept.
- 03
Quotation
Shanghai export office
Configuration, inclusions and exclusions, FAT criteria, payment milestones, Incoterm, lead time, manufacturer and warranty party, exporter of record.
- 04
Factory audit (recommended)
Buyer
Visit Xinxiang, see the machines and dies running, meet the engineers. Third-party inspection by SGS, BV or TÜV is accepted at your cost.
- 05
Contract and first payment
Buyer + exporter
Contract with the Shanghai exporter as seller; technical annex signed off by the factory. First milestone payment starts drawing and die design.
- 06
Drawing approval
Buyer
You approve the layout and die 3D models before manufacture.
- 07
FAT
Factory + buyer
The machine or line is run against the agreed pass/fail criteria, witnessed in person, by video or by your inspector.
- 08
Shipment and documents
Exporter of record
Export customs, bill of lading, commercial invoice, packing list, certificate of origin. Incoterm per contract.
- 09
Installation, SAT and training
Factory engineers
Supervised installation, site acceptance on your profile, operator training.
- 10
Warranty and spare parts
Manufacturer + exporter
Warranty is provided by the manufacturer; the Shanghai office coordinates claims and parts shipments in English.
Parties
Two companies, clearly separated
| Manufacturer | Henan Zhongsheng Composite Material Co., Ltd., Muye District, Xinxiang, Henan, China. Builds the machines and dies; warranty party. |
|---|---|
| Seller and exporter of record | Pultruded Export, Shanghai, China. Contracting party, export customs, shipping documents, after-sales coordination. |
| Contract language | English. Technical annex in English with Chinese reference copy for the factory. |
| Currency | USD or EUR. |
| Incoterms | FOB Chinese port by default; CIF or DAP on request. |
| Inspection | SGS, BV, TÜV or your own inspector at FAT; cost borne by the buyer. |
| Payment | Milestones tied to contract, drawing approval, FAT acceptance and shipment. Split stated on each quotation. |
| Dispute resolution | Stated in the contract. |
Next step
Send a cross-section drawing. Get a DFM review and a scoped quotation.
Quotations state the manufacturer, the exporter of record, the warranty party, FAT scope and payment milestones. No figure is quoted without a drawing.
